Scope
This Privacy Policy explains how Here AI collects, uses, shares, and protects personal information when you visit our website, contact us, or use our products and services, including Mira, our agent platform for the Customer Lifecycle.
Where we process personal information on behalf of a customer, that customer determines how and why the information is processed, and our agreement with that customer governs our processing. We explain this further under Data we handle for our customers below.
Information we collect
Information you provide to us. When you complete a form, book a session, subscribe to communications, or contact us, we collect the information you provide. This may include your name, work email address, company, role, and the contents of your message.
Information we collect automatically. When you visit our website, our hosting and infrastructure providers may collect standard technical information, including your IP address, browser and device type, referring page, pages visited, and the date and time of the request. We use this information to operate and secure the website and understand how it is used.
Information we process for our customers. If you interact with an organization that uses Mira, that organization may provide personal information to or through Mira so we can provide the service on its behalf. We process that information according to the customer's instructions and our agreement with that customer.
Information from other sources. We may receive professional or business contact information from partners, events, and publicly available professional sources and combine it with information we already hold.
We do not intentionally request special categories of personal information, such as health or biometric information, through our general website forms. Please do not provide sensitive personal information through these forms unless specifically requested.
How we use information
We use personal information to:
- provide, operate, maintain, and improve our website, Mira, and our other products and services
- respond to enquiries and arrange sessions or other conversations you request
- send service-related communications and, where you have consented or applicable law otherwise permits, information about our products and services
- understand how our website and services are used and improve their performance
- secure our systems, investigate misuse, and prevent fraud or abuse
- comply with legal, tax, regulatory, and contractual obligations and establish, exercise, or defend legal claims
Artificial intelligence and model training
Mira uses artificial intelligence and machine-learning technologies to provide its functionality.
We do not use customer data or the content of conversations we process on a customer's behalf to train shared Here AI models serving other customers, and we do not sell that data.
Where a customer asks us to configure, adapt, or tune a model for that customer's use, the resulting customer-specific configuration or learning remains subject to that customer's deployment and our agreement with them.
We may use aggregated or de-identified information that cannot reasonably be linked to an individual or customer to measure and improve the performance, security, and reliability of our services.
Legal bases for processing
If you are in the United Kingdom, European Economic Area, or Switzerland, we process personal information where we have an appropriate legal basis.
Depending on the circumstances, this may include:
- our legitimate interests in operating, securing, improving, and growing our business, where those interests are not overridden by your rights
- performance of a contract with you or taking steps at your request before entering into a contract
- your consent, where we request it, which you may withdraw at any time
- compliance with a legal obligation
The legal basis that applies will depend on the information involved and the purpose for which we process it.
Data we handle for our customers
When an organization uses Mira, that organization may determine how and why personal information within its deployment is processed. In those circumstances, the customer generally acts as the controller and Here AI acts as a processor or service provider on its behalf.
We process that information according to the customer's instructions, our agreement with the customer, and applicable law. We do not use customer personal information for unrelated purposes.
The retention, return, and deletion of customer data are handled according to the applicable customer agreement and deployment requirements.
If you want to access, correct, delete, or otherwise exercise rights relating to information an organization using Mira holds about you, you should generally contact that organization directly.
If you contact Here AI regarding information for which one of our customers is responsible, we may refer or forward your request to that customer as appropriate.
Cookies and analytics
Our website uses cookies and similar technologies necessary to operate the site and may use analytics technologies to understand how visitors use it.
We do not use advertising cookies to build profiles for cross-context behavioural advertising.
You can manage or delete cookies through your browser settings. Some parts of the website may not function as intended if necessary cookies are disabled.
Where applicable law requires consent before non-essential cookies or similar technologies are used, we will request that consent before setting them.
Retention
We retain personal information for as long as reasonably necessary for the purposes for which it was collected, including to provide our services and meet legal, accounting, tax, security, and regulatory requirements.
The appropriate retention period depends on the nature of the information, why we collected it, applicable legal requirements, and whether it is required to establish or defend legal claims.
Customer data processed through Mira is retained according to the applicable customer agreement and deployment requirements.
Security
We use technical and organisational measures designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.
These measures may include encryption in transit, access controls, logging, security monitoring, and vendor review, depending on the systems and information involved.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
International transfers
Here AI operates internationally, and personal information may be processed in countries other than the country in which it was originally collected, including the United States.
Where applicable law requires safeguards for international transfers of personal information, we use recognized transfer mechanisms and other appropriate safeguards.
For transfers from the United Kingdom or European Economic Area, these may include applicable standard contractual clauses and supplementary safeguards where required.
Your rights
Depending on where you live and applicable law, you may have rights relating to your personal information, including the right to request access, correction, deletion, restriction, objection, or portability, and the right to withdraw consent where processing is based on consent.

Here AI does not sell personal information or share it for cross-context behavioural advertising. We will not discriminate against you for exercising applicable privacy rights.

Where permitted, you may use an authorised agent to submit a request on your behalf.
If you are dissatisfied with our response, you may also have the right to complain to the data protection or privacy authority responsible for your jurisdiction.
Marketing choices
You can unsubscribe from marketing emails at any time using the unsubscribe link included in those communications.
Unsubscribing from marketing communications does not prevent us from sending service, transactional, security, or other non-marketing communications relating to products or services you use.
Children
Our website and services are primarily designed for organizations and professional users and are not directed to children under 16.
We do not knowingly collect personal information directly from children through our website.
Where Mira is deployed by a customer in a context that may involve minors, the processing of that information is governed by the customer's deployment, instructions, applicable agreement, and relevant legal requirements.

Our website may contain links to websites or services operated by third parties.
Here AI does not control those third parties and is not responsible for their content or privacy practices. This Privacy Policy does not apply to personal information collected independently by those third parties.

We may update this Privacy Policy from time to time to reflect changes to our practices, products, or legal requirements.
The effective date at the top of this policy identifies the current version.
